INSTRUCTIONS TO PARTICIPANTS
Awards
Although the NCAA does not provide awards for the region meets, we will recognize the top fifteen finishers and top four teams from both the men’s and women’s races. Coaches please have your athletes available following the conclusion of the last race for this presentation.
Credentials
There will be coaches/officials credentials for access to the results/hospitality tent that will be located near the finish line. Credentials will be distributed during packet pick-up. SID’s and media who plan on attending should contact John Spugnardi (Bellarmine’s SID) for press access.
Coaches Meeting
The coaches meeting to discuss race details will be held on Friday, November 19th @ 3:00 PM at the recreation building at E.P. Tom Sawyer State Park. Coaches’ packets will be distributed at this time and will include a copy of the team’s entry form, athlete numbers, timing chips, important phone numbers, course maps, credentials, parking passes, and other pertinent information. All Head Coaches (or their designee) are required to attend.
Concessions
There will be a concession tent located near the shelter house about 200m from the finish line.
Course Markings
The course is marked by a single white line and natural boundaries. Umpires will be stationed throughout the course. See Appendix D: Women’s 6,000 Meter Course Map and Appendix E: Men’s 10,000 Meter Course Map.
Coaches’ Packet Pick-Up
Coaches’ packets can be picked up beginning at 2:00 PM on Friday, November 19th in the recreation building at E.P. Tom Sawyer State Park. Any packet not picked up by the conclusion of the coaches meeting will be available on Saturday, November 20th at the course starting at 9:00 AM (please see Jim Vargo – Bellarmine Head Coach).

Declarations
Coaches must declare during packet pickup a maximum of seven (7) student-athletes that will compete for their institution from the listed names on the team’s roster submitted on line at www.directathletics.com. The runners declared for the national championship meet may be different than those that competed at the region meet, but all names must have appeared on the original entry form submitted by the November 3 deadline.
Drug Testing
Student-athletes who compete in this championship may be subjected to drug tests in accordance with NCAA testing protocol. Only student-athletes who have consented in writing to such testing are initially eligible for this championship; and, thereafter, student-athletes who are tested shall remain eligible only if they test negative.
NCAA championships committees, following a recommendation from the NCAA drug-testing subcommittee, have discontinued the practice of announcing whether drug testing will be conducted at NCAA championship events. Although knowing prior to competition whether NCAA drug testing was to occur had value for reasons of convenience, it left open the possibility that student-athletes might be tempted to use banned substances if they knew that NCAA testing was not being conducted at the site of competition.
Therefore, all coaches and student-athletes should presume that NCAA drug testing will occur at this championship event. Please inform your student-athletes that in the event they are notified of their selection for drug testing, the student-athlete must inform an official representative of your institution (e.g., coach, athletic trainer) before proceeding to the drug-testing site. Student-athletes will be reminded by the courier to contact their team representative.
Drug testing may occur at any session of the championship. If it occurs at this session, a representative of the student-athlete’s institution will make contact with the selected student-athletes immediately following the conclusion of the 10 minute cooling-off period. After signing the notification form, student-athletes have one hour to report to the testing site. Accordingly, two separate areas will be provided if testing is conducted.
Entry Process
The entry roster for each institution competing in the 2010 Midwest Region Meet must be submitted online by midnight Eastern Time on Wednesday, November 3. The online entry roster can be accessed through Direct Athletics at www.directathletics.com. There is no limit as to the number of eligible student-athletes that an institution may submit on their Team Roster, but no more than seven may participate. You will declare your competing athletes (up to seven) during the Declaration Process on Friday, November 19.The same roster will be used for the region qualifying meets and national championships. Changes to the actual competitors can be made from any eligible member listed on the team roster at the time of declarations.
Hospitality
This area will be restricted to the following personnel: Coaches, Officials, Administrators, and Volunteers on Saturday, November 20th from 8:00 a.m. – 1:00 p.m. Final results will be posted in the Hospitality tent as soon as they are available for the protest period. There will be light refreshments available in the hospitality tent.

Inclement Weather
Following NCAA protocol, we will be using WeatherSentry online lightening detection and weather monitoring system. Once lightning enters the 30 mile radius of competition, we will begin preparations to protect the student-athletes and spectators. Once lightning enters an 8 mile radius of our site, competition must stop and student-athletes and spectators will be moved to safe areas. We will not begin any activity until 30 minutes have passed since the last lightning strike inside the warning ring.
Inspection of Course
The course will be open for team inspection on Friday, November 19th from 9:00 a.m.-5:00 p.m. The course will re-open for warm-up on Saturday, November 20th at 9:00 a.m.
Locker Rooms
In the main pavilion at E.P.Tom Sawyer State Park, there are men’s and women’s locker rooms available for participants. These include areas for showers. Please do not leave your valuables.
Merchandising
Official NCAA Cross Country Championship merchandise will be made available at the course on race day.
Medical and Training
The following services will be available at the finish line pre-race and post-race:
• An athletic training tent with training tables, but no modalities.
• Water, ice, cups and biohazard materials will be available.
• A team physician will be present during the meet.
• An ambulance will be on site during the race.
• An AED unit will be available at the race.
The following services will be available during the race:
• A gator will follow behind the participants during the race in case of any potential medical problems.
• Athletic trainers will be at the course 90 minutes before competition and for one hour after competition.
Minimum Contest and Participation Form
Each institution must submit their NCAA Minimum Contest and Participation Form to the NCAA Midwest Region Representative (Lou Andreadis – Grand Valley State) no later than 3:00 PM on Monday, November 22, 2010.
Officials
The referee, starter, announcer, timing company, host institution, and meet director will meet prior to the Coaches’ Meeting to discuss race information.
Parking
There is a $5 fee per car to park at E.P. Tom Sawyer State Park. There is no admission charge to attend these championships other than the parking fee. Team vehicles will be given a parking pass at packet pick-up. Please refer to the document describing directions to parking for spectators, teams, and officials. There are designated parking lots for teams and officials (near the starting line) and for spectators (parking lot near finish line).

A listing of restaurants near the airport, Bellarmine University, and Downtown Louisville are listed in Appendix B. For teams staying near E.P. Tom Sawyer State Park (Hurstbourne, Springhurst, Westport Road areas) there are numerous restaurants near those hotels including Olive Garden, Chili’s, Longhorn Steaks, Texas Roadhouse, and many other options.
Results
Results will be provided to each coach, SID, and the officials following the race in the Hospitality tent located adjacent to the finish line. Any special needs or services will be provided by John Spugnardi, Bellarmine Sports Information Director.
Scoring
NCAA rules for cross country scoring and advancement to the NCAA Championships will be followed. For scoring please consult the 2010-11 NCAA Men’s & Women’s Track and Field/Cross Country Rules Book. For advancement to the 2010 NCAA Championships please consult the 2010 NCAA Division II Championships Handbook.
Timing Chips
Chips must be turned in to the Finish Line Officials before runners are allowed to leave the finish line area. Coaches are responsible for returning all chips. There is a $30 per Chip charge for unreturned Chips. Please make sure every athlete wears their bib numbers on both the front and back and hip numbers so they are visible.

Tent Rental
It is permissible to bring your own team tents, but all tents and team camps must be set-up in the designated “Team Camp” area which will be located adjacent to the team parking area about 50m from the start line. Reliable Rental is the company we recommend if you are interested in renting a tent from them. Please call Dick at Reliable Rentals at 502-426-1000. Please indicate your school affiliation and your rental needs for the Midwest Cross Country Meet at E.P. Tom Sawyer State Park on Saturday, November 20. This is the company that will be used for the NCAA Championship meet.
Uniforms
All competitors must wear the official uniform of their institution in competition and warm-up for competition. All cross country team members must wear uniforms clearly indicating through color, logo, and combination of all worn outer garments, that members are from the same team. Furthermore, undergarments on top (e.g. t-shirt) or bottom (e.g. tights) worn by team members must be of an identical solid color. Coaches are reminded that all student-athlete uniforms must conform to NCAA rules regarding commercial logos. This bylaw is applicable to all apparel worn by student-athletes during the conduct of the institution’s competition, which includes any pre or postgame activities at the meet site.

From Hurstbourne Pkwy
Head north on Hurstbourne Pkwy until you reach Westport Rd. Turn right on Westport Rd. From Westport Rd, turn right onto Freys Hill Rd. E. P. Tom Sawyer Park will be on your right and you will be directed to team parking by the parking attendants.
From Newburg Rd & Watterson Expressway (I-264)
Take Watterson Expressway East until you reach I-71 N. Merge onto I-71 N and take until you reach the Gene Snyder Expressway (I-265 S/W). Take I-265 S/W to the Westport Rd exit. Turn right off of the exit onto Westport Rd. Turn left on Freys Hill Rd. E. P. Tom Sawyer Park will be on your right and you will be directed to team parking by the parking attendants.
From Blankenbaker Pkwy & I-64
Take I-64 E to the Gene Snyder Expressway (I-265), exit # 19B. Merge onto Gene Snyder heading north. Take the Westport Rd exit, exit # 32. Turn right onto Westport Rd off of the exit. Turn left on Freys Hill Rd. E. P. Tom Sawyer Park will be on your right and you will be directed to team parking by the parking attendants.
From Watterson Expressway (I-264) & I-64
